Since 2014, Scriptor has been working with Systec GmbH, a manufacturer of laboratory autoclaves (steam sterilisers), media preparators and filling devices for liquid media and microbiological culture media, based in Linden, Germany. As a full-service provider, we are responsible for the fundamental design, authoring during the product development, and translation in accordance with the Machinery Directive 2006/42/EC for size-specific variant-dependent documentation.

We started here by developing a structure/layout design for the operating manuals of the different model variants based on their size and installation types. We then created a template for a publication PDF in Schema ST4 using the PLD (PageLayoutDesigner).

The operating manuals (for two autoclave models and their variants) were authored during the development phase. The text is created in modular fragments; this optimises text reusage and avoids creating text modules that are “almost the same”. The reuse rate when documenting the product variants is 72%. The master terminology ensures that the consistency and “durability” of these text modules are excellent.

Translating with SCHEMA ST4

The operating manual was translated into 7 languages. An XML file from SCHEMA ST4 was imported into an SDL Trados package along with the TM and then sent as a package to the translator. This involved about 26500 words per language. Translation reports make it easy to continually follow the translation status in SCHEMA ST4. The translation into these languages is part of our update service which immediately follows the update of the master document.

Project management for authoring

After confirming the project, the project’s master data were created, the project phases defined and the on-site appointments and training agreed. Updating the project schedule enabled us to monitor resources and availability. Summaries of upcoming tasks and bottlenecks were used to manage the project. Project management was also responsible for the entire event logging. We provided the three-member team with a project manager.

Translation management

Our pool of evaluated, native-speaker medical technology translators is at the heart of this project phase. Already during the authoring phase, these translators received the German master document, the terminology and an initial briefing on the subject matter. The very specific localisation demands required a translator-friendly how-to guide and comprehensive support for the translators. Scriptor handled the questions, which were then answered by the author of the master document. Scriptor was also responsible for the scheduling and reporting for all phases: localisation, translation, layout recall, publication and delivery in 7 languages.

Project goals

A clear structure, illustrations for size-specific variants, quick availability and updates: the result is a customer who is completely satisfied with the operating manual. A high rate of text reusage in the source document and translations saves time and money, while also streamlining the documentation. By converting from Word to Schema ST4, future compatibility is ensured. New variants and customised solutions can be implemented ad hoc.
